Responsible for Reception areas, by ensuring all visitors, clients and telephone callers have a positive impression of MAF and are treated courteously and all telephone calls are answered professionally.
Deputising Customer Services Coordinator in their absence
Provide basic training to new staff on the services available through the telephone system.
Treat visitors to Head Office courteously and inform the relevant staff of their arrival promptly.
Provide customers with general information if necessary on MAF such as working hours, names / designations / location of relevant managers etc.
To answer telephone calls made to the Head Office promptly and to ensure that forwarded calls to the relevant staff are monitored so as not to leave callers unattended.
Take messages from callers and ensure they are passed on to relevant staff.
Ensure meeting rooms are kept tidy throughout the day by liaising with the Office Assistants.
Allocate and book meeting rooms for employees when requested.
Receive emails from secretaries for bookings & reply back with confirmation of availability.
Receive and dispatch the couriers/mails in an efficient manner.
Receive and record incoming documents and parcels on a log-book.
Prepare reports on meeting room bookings, weekly call log reports.
Carry out general administrative duties as requested by OI & FM
Position Requirements
- Should have telephone operation experience.
- Must have a pleasing personality.
- Good, positive attitude and excellent “people skills”
- Well groomed, professional and presentable
- Patient and good ability to handle high pressure situations
- Good customer service and organizational skills
- Punctual and hard working
- Computer literate in Word and Excel.
- Should have good communication skills in English and preferably Arabic as well as any additional knowledge of other languages. (Preferably a National)
- Understand the services available on the telephone system and be able to provide adequate training in them to new Receptionists.
- Understand the organisation of MAF, the main elements of its business and the key executives and employees.
- Be able to deal with different nationalities in a courteous and helpful manner.
