Finance and Commercial Assistant Manager (supporting the JV)

WSP Middle East is seeking an enthusiastic and motivated individual to join our business as a Finance and Commercial Assistant Manager (FCAM).
The FCAM will be responsible for ensuring timely and accurate monthly accounts are produced with respect to the Contract 2 Joint Venture (JV).
The FCAM will also have a key role to play with respect to commercial management of JV on the Contract 2 project. This commercial management will involve producing and understanding key reporting such as utilization, monthly fee recognition, working capital and project summary reporting relative to the JV.
The role will also require active liaising with internal WSP ME employees as well as those resources within the JV and also liaising with those from Khatib and Alami (‘K&A’) where required ensuring the provision of information is transparent and accurate for the JV.
The role will require the FCAM to be based mainly in the SAIF Zone with the other WSP ME support function, however also require periodic travel to Doha, Qatar.
Financial Reporting/Management Accounting
To ensure all duties in the Finance and Commercial timetable are completed in a timely manner relative to the JV (this will include specific consideration of the K&A working week and timetables)
Oversee and ensure all project and non-project journal entries are processed in the system in a timely manner
Understanding the Excelerator monthly reporting tool and ensuring that the information produced from this is both timely and accurate
Ensure monthly reconciliations of all balance sheet accounts are maintained and for the review of such reconciliations
Review bank reconciliations and review of petty cash
Check monthly creditor reports
Review all payments before release
Oversee efficient workflows including timely processing of invoices and payments, in addition to ensuring neat and accurate files are maintained
Manage the purchasing and expenses flow and ensure this is in accordance with approved authority levels
Providing monthly reporting in conjunction with the Finance Manager and ensure this is accurate and meaningful for input into the monthly management reports
Direct involvement in the monthly forecasting process and annual budget
Assist with the provision of information for the statutory audit
To ensure revenue is recognized in line with company policy relative to the JV
Management of the JV’s working capital including timely invoicing and coordinating with credit control on debt collection
Management reporting including attendance of the JV’s management meetings and providing advice and the provision of information to key management.
Managing the time/cost process each month to ensure timesheets from WSP ME – Qatar and K&A are accurately recorded and input into the JV
Project / Prospect setup - ensure all projects and prospects are setup in Agresso in line with the Commercial Managers (CM) instructions and when appropriate work orders are closed once completed
Time transfers / Cost movements - work alongside Commercial Manager (CM), Project Director (PD) and Project Managers (PM) to ensure that time costs and expenses including subconsultants are coded to the correct work order and where necessary move incorrect time or expenses
Maintain up to date project billing schedules and statements of account where necessary
Generate and issue Agresso invoices and credit notes and all necessary contractual back up as required.
Ensure all documents received and issued are saved electronically in line with the company's Document Referencing Procedure
Assist the Credit Control team in chasing up overdue invoices, produce receipts and co-ordinate the drivers for cheque collection when necessary
Support the PMs ensuring Internal Undertaking Papers are written for all work shared with other WSP operating companies
Review reports issued centrally to ensure all project costs including expenses, subconsultants, and time are accrued correctly and where changes are required this is communicated and acted upon
Ensure working capital reports reflect the latest information available and that all actions are completed on a monthly basis by relevant PD
Contribute to achieving the teams objectives through initiating and developing solutions and by providing proactive support
Stay updated with relevant technical developments within the discipline
In conjunction with line manager identify, assess and manage technical project risk
Provide regular project status updates, including risks or concerns, to line manager
Input into the business unit strategy and facilitate implementation across project team
Attend and contribute in team and project meetings
Lead by example and ensure QMS and Project Lifecycle compliance across their team and projects
Partnership with credit control and commercial managers
Ensure that Health & Safety is embedded into all work practices in line with company policies
Support the companies approach to Sustainability and ensure that the Sustainability strategy is implemented across the team
Qualified accountant with a minimum of 5 years accounting experience
Experienced user of Microsoft Office. In particular intermediate to advanced capability on excel
Experience with technical accounting systems
Experience with financial and project databases
Experience in accounting and commercial management for a construction company or similar preferred
Experience in using the Agresso Accounting System preferred
